Many studios are used to admin support being available throughout the day. Working in set blocks is different - it relies on clear systems and planned processes rather than constant availability. Once these are in place, admin tasks can be completed efficiently within scheduled times, without interrupting project work.

Freelance admin is structured, intentional, and designed to support your studio as it grows. Together, we can create systems that make the day-to-day smoother now and easier to hand over when you’re ready for a full-time hire.

Here's an example of how that might look.

Weekly Hybrid | 2 mornings in the Studio, 2 afternoons online

Studio days may include:

• Checking stock and supplies

• Opening procedures and workspace setup

• Managing phones, mail, and deliveries

• Greeting clients and consultants

• Troubleshooting tech issues

• Organising the materials library

• Meeting and onboarding new hires

Online days may include:

• Processing expenses and HR documents

• Travel bookings

• Scheduling interviews or internal meetings

• Researching venues or organising team events

• Arranging Lunch & Learns with consultants

• Ordering stock and supplies

Handling the Unexpected

Some tasks can arise outside scheduled work blocks, for example:

• A last-minute courier or delivery

• Client or consultant drop-ins

• Unexpected tech issues

• On-the-day meeting changes

• Short-notice online tasks such as travel bookings, purchases, research, or coordination

These can be addressed in the next scheduled work block, or I can complete them immediately if my schedule allows. Urgent tasks completed outside scheduled blocks are charged at my standard rate with a 30-minute minimum. Part-time or freelance admin is designed to be the best value support while keeping your studio running efficiently until full-time support is in place.
